Revenue and occupancy calculator

Physical occupancy counts occupied units, while economic occupancy compares the rent those units actually pay with what every unit could earn. Enter your unit sizes, counts and rates to see both, plus gross potential rent and revenue per available square foot.

How it works

  • Physical occupancy = occupied units ÷ total units
  • Gross potential rent (GPR) = sum of (units x rate) for every size
  • Actual rent = sum of (occupied units x rate) for every size
  • Economic occupancy = actual rent ÷ gross potential rent
  • Vacancy loss = gross potential rent − actual rent
  • Revenue per available sq ft = actual rent ÷ total rentable sq ft

Economic occupancy is lower than physical occupancy when your vacant units are the expensive ones, or when occupied units rent below the rate you entered. Enter the rate you actually collect for occupied units for the most useful picture.

Revenue per available square foot divides by every square foot you could rent, occupied or not, so vacancy shows up in the number.

Sizes like 10x10 are read as square feet. You can also type a plain area such as 150.

Frequently asked questions

What is the difference between physical and economic occupancy?

Physical occupancy counts units. Economic occupancy counts dollars. A facility with most units rented at deep discounts can have high physical occupancy and much lower economic occupancy.

What is revenue per available square foot?

It is the rent you collect each month divided by all the rentable square feet you have, rented or not. It lets you compare facilities and unit sizes on the same footing.

Where do I find the numbers?

Your rent roll or management software lists units by size, which are occupied, and the rate each pays. Use one rate per size, such as the average you collect.

Is a higher occupancy always better?

Not on its own. Full occupancy at rates below the market leaves money on the table. Look at economic occupancy and revenue per square foot together.
